Project Overview Luminar is a New Zealand property-marketing business.
Agents submit listing information through an online form.
We manually build the property websites inside an external platform (RelaHQ). You do NOT need to know or touch RelaHQ in Phase I.
We’re building the internal automation layer that sits before that system. PHASE I — WHAT YOU WILL BUILD This project is strictly Phase I:
Data → Billing → Credit Tracking → Notifications.
No API work. No dashboards. No front-end. 1. FormCan → Airtable Integration You will build a clean Airtable base with two linked tables: Table 1: Partners partner_id plan_type (Founder / Standard / One-off) stripe_customer_id stripe_subscription_id monthly_credit_allowance credits_used_this_month overage_count contact_email Table 2: Submissions submission_id partner_id (linked) all listing text fields status (“New / Processing / Complete”) timestamp reela_listing_id (Phase II use) 2. Stripe Setup (3 Pricing Models) Standard Partner Pack → $2,995/month (5 sites) Founding Partner (Private) → $1,497/month (3 sites) One-off Purchase → $699 once You will connect Stripe → Airtable and ensure the entire plan/credit system is editable by the founder without touching workflows. 3. Credit Tracking (Critical Logic) Reset monthly credits on Stripe renewal Increment usage on each completed listing Track overages No hard-coded values All logic must come from Airtable/Stripe metadata 4. n8n Workflows New submission notifications Usage tracking Monthly reset + Stripe sync NO Phase I automation includes: RelaHQ API calls Per-listing billing Dashboards UI/UX Authentication Anything visible to agents or media partners Phase I is purely internal infrastructure. PHASE II (Visibility Only — Not In Scope Now) Later, this same Airtable structure must support: API push to RelaHQ Automated listing creation Automated per-website billing Status sync from RelaHQ back to Airtable You’re not building this now, but Phase I must not block Phase II. PHASE III (Visibility Only — Not In Scope) Full dashboards for agents and media partners, including: Logins Usage views Forms Management tools Will be handled by a separate team. What Success Looks Like By the end of Phase I: Airtable is clean, normalised, fully linked Stripe subscriptions sync perfectly Credits decrement automatically Overages are logged Notifications run flawlessly The founder can: Add partners Change plans Adjust credits Add new Stripe plans Manage everything
