He whakamārama mō te tūranga mahi | About the role We’re on the lookout for a Project Coordinator to support the successful delivery of HRIS Phase II and People Payroll projects. This role is pivotal in ensuring smooth coordination across teams and vendors, maintaining compliance with organisational standards and project governance. You’ll manage schedules, documentation, financial tracking, governance packs, workshop organisation, invoicing, goods receipting, and stakeholder communication/reporting hygiene Ngā kawenga matua | Key Responsibilities Maintain and update project timelines, milestones, and deliverables. Plan, schedule, and organise workshops, including logistics and materials. Assist in resource allocation and track availability across tasks via JIRA. Liaise with internal teams and external vendors for alignment. Prepare and maintain project documentation (plans, status reports, RAID logs). Track progress and provide regular updates to stakeholders. Maintain RAID (Risks, Assumptions, Issues, Dependencies) logs. Monitor risks and escalate issues as needed. Track and reconcile project financial actuals against budget. Create finance addendums and maintain financial documentation. Manage invoicing, goods receipting, and purchase orders (POs). Prepare and update Steering Committee (SteerCo) packs. Ensure timely distribution and version control of governance materials. Excellent communication and stakeholder engagement abilities. Attention to detail with a proactive approach to problem-solving. Ability to manage multiple priorities in a fast-paced environment. Understanding of project governance and financial processes.
