Job Description Facilities Administrator/Co-ordinator Division /Region: Bunnings Line of business Bunnings FM Contract Location: Auckland Direct/Indirect, Client Funded or contracted: Direct Date of Last Revision: December 2025 Approved by: REPORTING RELATIONSHIPS Reports to: Account Director - Corporate Functional Report: Bunnings FM Team Direct reports: Nil SCOPE OF ROLE In conjunction with the client management team, successfully deliver and manage the Master Services Agreement (MSA) ensuring all key performance indicators (KPI’s) are met and exceeded, by implementing effective strategies to achieve financial targets, client satisfaction, and sub-contractor management ensuring profitability. LEVEL OF AUTHORITY As outlined in the delegation of Financial Authority Policy KEY RELATIONSHIPS (INTERNAL/EXTERNAL) Internal Bunnings Account Director and C&W Bunnings FM Team C&W Bunnings Facilities Management team Trade Services team Finance Team C&W Call Centre Team External Bunnings Properties team Suppliers Sub-Contractors JOB PURPOSE Responsible for: Compliance in accordance with the MSA Ensure day-to-day operations across the Client portfolio Proactive contractor management, to ensure performance meets the relevant KPI’s, and/or exceeds Be the escalation point for the CSC and support the CSC with the resolution of issues Recognise escalations and escalate critical issues to the client Assist with the management of Sub-contractor Assist with the management Internal Trades Services Observance Quality systems and processes Assist with the management of Contractor Accreditation to meet C&W requirements and MSA KPI’s Observance Health and Safety systems and processes Resolving Invoice and Work In Progress (WIP) queries Continuously improve facilities management knowledge to ensure cover is available for when team members are away Update JDE as required Provide insight, analysis and evaluation of BAU operations, assist with delivery of innovation and improvement Other duties as required by Contacts Managers/ Senior Facilities Managers ACCOUNTABILITIES Client receiving service exceeding their expectations Liaise with the Bunnings Property Help Desk operated by C&W Increasing business activity where possible to meet targets Assist CW Finance, to ensure client is invoiced for all completed works in the month completed Assist CW Finance and Account Director, to review WIP issues are proactively managed to completion Delivery of KPI’s as outlined in the MSA Assist with keeping all Contractor Accreditation current as outlined in the MSA Assist CW FC with PPM billing, when required Assist with managing the contracts database to ensure Sub-contractors meet the relevant KPI’s Contribution to the preparation and delivery of periodic and ad hoc reports POSITION DIMENSIONS Ensure all services are delivered in accordance with the MSA Source and develop relationships within assigned clients Contribute to the development of solutions for client by preparing and delivering reports or data that solve or address operational problems according to the specific requirement of the MSA Achieve targeted budget imperatives for client contract/contracts under direct control and accountability Communicate regularly with external and internal clients including C&W Call Centre (Bunnings Property Help Desk) to ensure achievement of KPI’s and client satisfaction targets are met Manage Sub-contractors and self-delivered services to ensure C&W polices are adhered to Maintain JDE Maintain client hard files Assist with the management of sub-contractor invoices to achieve timely approval and payment Achieve continuous improvement of internal systems and processes BACKGROUND AND EXPERIENCE Understanding and knowledge of the Property or Facilities Management industry Minimum of three years’ experience in Property or Facilities Management Ability to manage sub-contractors to deliver quality and timely services Ability to prepare professional high-quality documentation Administration skills QUALIFICATIONS & TECHNICAL SKILLS Excellent trouble-shooting skills Sound analytical and trend spotting skills Sound strategic thinking Understanding of Invoicing and Accounts payable functions preferred Sound Knowledge of Excel, Word, Outlook and JDE (preferred) PERSONAL CHARACTERISTICS Excellent customer service Planning ability – ability to prioritise workload Effective communication skills Team player INCO: “Cushman & Wakefield” About Cushman & Wakefield Cushman & Wakefield (NYSE: CWK) is a global leader in real estate services, leveraging our specialized expertise to deliver innovative solutions and exceptional value to owners and occupiers.
