Location: Remote (Philippines only) Hours: 40 hrs/week (NZST working hours — approx 9am–5pm NZ time) Salary: Competitive, based on experience Start Date: ASAP ⸻ About Us We are Container Shelters Ltd, a fast-growing New Zealand company supplying engineered container-mounted shelters, canopies, and custom structures nationwide. We work with contractors, engineering firms, freight companies, councils, and commercial clients across NZ. Our business is growing rapidly, and we’re looking for a high-level, reliable, proactive Executive Assistant / Operations Coordinator to work directly with the Managing Director. This is not a basic VA role. This is a long-term position for someone confident, organised, and excellent in English who can help run the operational side of our company. ⸻ Role Overview You will work closely with the Managing Director to support daily operations, manage communications, and keep projects moving. Your job is to take pressure off the MD by handling tasks that can be delegated. This includes: Daily Responsibilities • Manage and organise the MD’s inbox • Draft and send emails to customers, installers, suppliers, freight companies • Follow up overdue quotes, open leads, and outstanding tasks • Update spreadsheets, job trackers, and documentation • Request freight quotes, chase deliveries, check statuses drawings, and files • Prepare basic proposals & summaries from email threads • Keep the MD updated on priorities, anything urgent, and outstanding replies • Handle small admin tasks without needing direction ⸻ Ideal Candidate You must be: • Exceptional in written English (near-native level) • Highly organised with strong attention to detail • Confident talking to customers and suppliers • Able to understand technical information when explained • Fast typer, fast learner, proactive thinker • Comfortable working NZ hours (PH 4am–12pm start, OR 6am–2pm start acceptable) • Loyal, trustworthy, and looking for long-term stability • Able to work independently with minimal supervision • Tech-savvy — good with Gmail, Google Drive, spreadsheets, PDFs, etc. Experience bonus points: • Background in construction, engineering, logistics, freight, or project coordination • Experience managing inboxes for busy founders You don’t need to know shelters — we’ll train you. ⸻ Tools We Use • Outlook • Google Drive • OneDrive • Xero (basic awareness helpful) • Unleashed (nice to have) • WhatsApp • Canva (basic helpful) • Zoom ⸻ What You’ll Get • Stable long-term work with a growing NZ company • A supportive, friendly team • Direct access to the decision-maker (MD) • Consistent weekly hours • Opportunity to grow • Meaningful work helping deliver big projects across NZ ⸻ To Apply (Required) Please answer the following: 1.
