About the Role I’m looking for a proactive, detail-oriented Executive Assistant who can own my email, calendar, operations, and the sales support engine behind my outreach. You are not responsible for selling or closing — you are responsible for keeping the machine running with precision. I work with Learning & Development leaders at major financial institutions and law firms. We offer a leadership assessment that helps large teams reduce interpersonal friction and improve communication at scale. If you’re organized, resourceful, strong in written communication, and you love building structure — you will do very well in this role. This is a long-term position for the right person. What You’ll Own 1. Executive Assistant Responsibilities (Core EA Work) Email Management - Triage inbox daily - Draft replies on my behalf - Organize messages into categories (Today / This Week / Waiting) - Unsubscribe and clean up low-value email - Ensure nothing slips through the cracks Calendar Management - Own all scheduling and rescheduling - Maintain clean calendar with buffers and protected focus time -Prepare me for meetings (notes, links, background context) - Coordinate across multiple calendars/tools Travel & Logistics - Book flights, hotels, rental cars - Build itineraries - Manage travel changes and preferences Administrative Operations - Organize documents in Google Workspace - Maintain Notion task lists and weekly priorities - Vendor research (summaries, pros/cons, best choice) Basic bookkeeping prep (receipts, statements, categorization) - Support tax documentation organization - Light project management and follow-up tracking 2. Sales Support Responsibilities (Execution Only — No Selling Required) Lead Sourcing + Research - Build targeted lead lists of Learning & Development executives at banks, law firms, and financial institutions - Enrich leads with titles, URLs, company size, and notes - LinkedIn Outreach + Follow-up - Send LinkedIn connection requests and messages using my approved scripts - Log outreach activity - Move leads through the CRM - Follow up consistently (no leads go cold) CRM Management (Notion) - Maintain a clean pipeline - Update status, notes, last touch, next touch - Organize weekly priorities - Meeting Booking + Coordination - Surface warm leads immediately - Book calls directly on my calendar - Send confirmations and reminders Weekly Metrics Report - of leads added - of outreach messages sent - of replies - of meetings booked - Notes on patterns, objections, and potential improvements You’re a Fit If You Are a. Exceptionally organized and reliable b. Strong in written English c. Able to follow structured processes without micromanagement d. Confident using Notion + Google Workspace + LinkedIn e. Fast learner and naturally proactive f. Calm under pressure and good at juggling multiple priorities g. Someone who finishes things and closes loops Nice to Have a. Experience supporting executives or founders b. Experience with B2B outreach or lead generation c. Familiarity with L&D, HR, or enterprise sales d. LinkedIn Sales Navigator experience e. Experience with CRM systems (even basic ones) What Success Looks Like in the First 2 Weeks a. My inbox is clean daily b. My calendar is fully owned by you c. Notion CRM is organized and accurate d. 50–150 leads added with clean data e. LinkedIn outreach running consistently f. Vendor research done with clear recommendations g. A concise weekly report delivered every Friday
